1.1 These Terms of Service (“Terms”) govern access to and use of:
1.2 The Site and Bot together are referred to as the “Services”. The Discord platform is operated by Discord Inc.; your use of Discord remains subject to the Discord Terms of Service and Discord Community Guidelines.
1.3 By accessing the Site, logging in, using the Bot, or continuing to use the Services after notice of changes, you agree to be bound by these Terms. If you do not agree, you must not use the Services.
1.4 If you are using the Services on behalf of an organisation, you represent that you have authority to bind that organisation, and “you” includes that organisation.
2.1 [OPERATOR_NAME] operates [DISCORD_SERVER_NAME] and the Services in connection with a roleplay community themed around British Transport Police–style policing. Unless we state otherwise in writing, the Services are community tools for entertainment and organisational purposes within that roleplay context.
2.2 The Services are not operated by the real-world British Transport Police, any government agency, or any law-enforcement body. Nothing on the Site or Bot constitutes official police advice, legal advice, or an emergency service.
2.3 Emergencies: For real emergencies, crime in progress, or danger to life, use appropriate real-world channels (e.g. 999 in the UK), not the Bot or Site.
3.1 You must be at least [MINIMUM_AGE, e.g. 16] years old to use the Services, or the minimum age required by Discord in your region, whichever is higher. If you are under the age of majority where you live, you confirm that a parent or guardian has reviewed and agreed to these Terms on your behalf.
3.2 Access to parts of the Site may require a user account issued by us (for example after verification against our service database or staff records). Accounts may include:
3.3 You are responsible for:
3.4 We may refuse registration, suspend, or terminate accounts that violate these Terms, community rules, or applicable law.
3.5 Portal permissions (including but not limited to access to Professional Standards–style tools, College of Policing–style training tools, database viewer access, or director-level functions) are granted at our discretion and may be changed or revoked at any time to protect the community, the Services, or legal compliance.
4.1 The Services may include, without limitation:
4.2 Features change over time. We may add, modify, or discontinue any feature with or without notice, except where we are legally required to give notice.
5.1 You agree to use the Services only for lawful purposes and in accordance with these Terms, our [LINK TO COMMUNITY RULES / SERVER RULES], and Discord’s rules.
5.2 Without limitation, you must not:
5.3 Staff obligations: Users with elevated permissions (e.g. directors, supervisors, instructors) must use those tools responsibly, proportionately, and in line with internal procedures we publish. Misuse of staff tools may result in immediate suspension and reporting to Discord or authorities where appropriate.
6.1 You may submit content through the Services (messages, form fields, file uploads, case notes, etc.) (“User Content”). You retain ownership of your User Content, subject to the licence below.
6.2 You grant us a non-exclusive, worldwide, royalty-free licence to host, store, reproduce, modify (for formatting or technical purposes), display, and distribute User Content solely as necessary to operate, secure, and improve the Services.
6.3 You represent that you have all rights necessary to submit User Content and that it does not infringe third-party rights or violate law.
6.4 We may remove or restrict User Content that violates these Terms or that we reasonably believe is harmful, unlawful, or exposes us or others to liability.
7.1 Information accessible through the Services (including staff profiles, case materials, disciplinary records, and internal communications) may be sensitive. You must treat such information as confidential to the community and use it only for authorised roleplay and operational purposes.
7.2 You must not disclose or republish such information outside authorised channels without permission, except where required by law.
8.1 Our collection and use of personal data is described in our [Privacy Policy — INSERT LINK OR DOC]. By using the Services, you acknowledge that we process personal data as described there.
8.2 If you are in the UK or EEA, you may have rights under UK GDPR / GDPR (access, rectification, erasure, restriction, portability, objection, complaint to a supervisory authority). Contact [CONTACT_EMAIL] or [DATA_PROTECTION_CONTACT] for requests.
8.3 We may log technical data (IP addresses, user agents, timestamps) and application logs for security, auditing, and troubleshooting.
9.1 The Services, including software, branding, layout, text, and documentation (excluding User Content and third-party materials), are owned by us or our licensors and protected by intellectual property laws.
9.2 You receive a limited, non-exclusive, non-transferable licence to use the Services for their intended purpose. You may not copy, reverse engineer, decompile, or create derivative works from our software except where applicable law permits.
9.3 Third-party trademarks (including “Discord” and any real-world organisation names used in a roleplay context) remain the property of their respective owners. Our use is illustrative unless we state we are officially affiliated.
10.1 The Services rely on Discord, hosting providers, databases, and possibly payment or analytics providers. Their terms and privacy policies apply to your use of those services.
10.2 We are not responsible for outages, changes, or actions by third parties.
11.1 THE SERVICES ARE PROVIDED “AS IS” AND “AS AVAILABLE” WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.
11.2 We do not warrant that the Services will be uninterrupted, error-free, or free of harmful components. You use the Services at your own risk.
11.3 Roleplay outcomes, in-character records, and community decisions made through the Services do not create employment, contractual, or legal relationships with any real police force or government body.
12.1 To the maximum extent permitted by applicable law:
12.2 Nothing in these Terms excludes or limits liability that cannot be excluded or limited under applicable law (including death or personal injury caused by negligence, fraud, or other liabilities that cannot be limited).
You agree to indemnify, defend, and hold harmless [OPERATOR_NAME], its operators, volunteers, and affiliates from any claims, damages, losses, or expenses (including reasonable legal fees) arising from your use of the Services, your User Content, or your violation of these Terms or third-party rights.
14.1 We may suspend or terminate your access to the Services at any time, with or without notice, for breach of these Terms, risk to security, legal requirements, or operational reasons.
14.2 You may stop using the Services at any time. Provisions that by their nature should survive (e.g. liability limits, indemnity, governing law) will survive termination.
14.3 Upon termination, your right to use the Services ceases. We may delete or retain data in accordance with our Privacy Policy and legal obligations.
15.1 We may modify the Services or these Terms. We will post updated Terms on the Site and update the “Last updated” date.
15.2 For material changes, we may also notify you via Discord, email, or a notice on login. Continued use after the effective date of changes constitutes acceptance. If you do not agree, you must stop using the Services.
16.1 These Terms are governed by the laws of [England and Wales / Scotland / Northern Ireland / other — CHOOSE], without regard to conflict-of-law rules.
16.2 The courts of [INSERT COURTS / JURISDICTION] shall have exclusive jurisdiction, subject to any mandatory rights you have as a consumer in your country of residence.
16.3 If you are a consumer in the EEA or UK, you may also have the right to use the EU ODR platform or local alternative dispute resolution.
You represent that you are not located in a country subject to embargoes or sanctions that would prohibit use of the Services, and that you are not on any government list of prohibited parties.
18.1 Entire agreement. These Terms, together with the Privacy Policy and any referenced community rules, constitute the entire agreement regarding the Services.
18.2 Severability. If any provision is invalid, the remainder remains in effect.
18.3 No waiver. Failure to enforce a provision is not a waiver.
18.4 Assignment. You may not assign these Terms without our consent. We may assign them in connection with a merger or sale of assets.
18.5 Language. The English version prevails over any translations.
